VOLUNTEERS
Volunteer Confidentiality Agreement
Every Surrey Speaks volunteer agrees to this when signing up. It protects the residents we help.
As a Surrey Speaks volunteer, I agree that:
- Confidential informationmeans anything I learn about a resident while volunteering with Surrey Speaks, including their name, contact details, address, immigration, legal, family, financial or health information, and any documents they show me.
- Use only to helpI will use confidential information only to help the resident with the request Surrey Speaks has given me — never for any business, marketing, fundraising or political purpose.
- No sharingI will not share confidential information with anyone outside Surrey Speaks without the resident’s permission, except with other Surrey Speaks volunteers who need it to help with the same request.
- DocumentsI will not copy, photograph or keep residents’ documents on my own phone, computer or accounts. Any copies needed for a request are made only with the resident’s consent and kept only in Surrey Speaks’ secure records.
- Keeping information safeI will keep information secure, use only devices protected by a password or PIN, not leave files or messages where others can see them, and delete or return information when the request is finished.
- No fees or solicitationI will not charge residents referred by Surrey Speaks, accept gifts or payments for my help, or offer them paid services.
- Professional rulesIf I am a licensed professional (such as a lawyer, notary, immigration consultant or counsellor), I will also follow my regulator’s rules on confidentiality and conflicts of interest.
- When information may be sharedI may share information only if required by law, or if I believe there is an immediate risk of serious harm to someone. In that case I will contact emergency services (9-1-1) and tell Surrey Speaks.
- Reporting problemsIf information is lost, sent to the wrong person or seen by someone who should not see it, I will tell Surrey Speaks right away at hello@surreyspeaks.ca.
- After volunteeringThese obligations continue after I stop volunteering with Surrey Speaks.
- Breaking this agreementIf I break this agreement, Surrey Speaks may end my volunteer role and, where appropriate, report the matter to my professional regulator.
